The Challenge

When Spectro opened its new headquarters, it chose not to include a traditional physical reception or receptionist. At the same time, the company needed to maintain a clear overview of who was entering the building and ensure that only authorized visitors could gain access.

The challenge was twofold. First, Spectro wanted to improve the flow for visitors arriving at the office, whether they had a scheduled meeting or arrived without prior notice. Second, security was essential. The company needed to know exactly who was in the building at any moment, without relying on manual check-ins or informal processes.

The solution had to be fully digital, easy to use for guests, and reliable enough to replace a traditional reception function entirely.

The Digital Reception Solution

To meet these requirements, Spectro implemented Digital Reception, a fully digital visitor management system with features designed to handle both scheduled and walk-in visitors.

For scheduled meetings, visitors receive a personal PIN or QR code generated as part of their meeting invitation. Upon arrival, guests check in quickly and independently using this code. This ensures a smooth, predictable entry process without manual intervention.

For unannounced visitors, the system offers a clear alternative flow. Guests can select a contact person, enter their details, and notify the relevant employee directly. This keeps the process structured while remaining flexible for unexpected visits.

Security is reinforced through integration with the Paxton door access system. Doors unlock only for visitors who have successfully registered at the digital reception. This prevents unauthorized access and gives Spectro full visibility into who is present in the building at all times.

Results and Impact

Digital Reception has fully replaced the need for a physical reception desk at Spectro’s headquarters. According to the team, the system saves a significant amount of time previously spent manually receiving and guiding guests.

Despite removing the traditional receptionist role, hospitality has not been compromised. Visitors are greeted in a friendly and professional way and are invited to enjoy a cup of coffee while waiting for their contact person. The experience feels welcoming, consistent, and well-organized.
