About the Client

ROC Gilde, also known as Gilde Opleidingen, is a Dutch educational organization offering vocational education and training across several campuses. With locations in Roermond and Venlo, the institution serves a large number of students, employees, visitors, and external partners every day.

As an educational environment with high foot traffic, Gilde Opleidingen requires a reception process that balances accessibility with security. The reception areas act as key entry points and must support clear communication, reliable access control, and accurate registration of everyone entering the buildings.

The Challenge

Before implementing a digital reception, managing access and visitor flows across multiple locations presented several challenges:

  • Handling different visitor types, such as students, visitors, and delivery personnel, through a single system
  • Ensuring secure access to buildings without creating delays or confusion
  • Integrating visitor check-in with existing door and access control systems
  • Providing real-time notifications to employees when someone arrives
  • Maintaining clear records of who is inside the building at any given time

The goal was to introduce a centralized, secure solution that could support these needs while remaining easy to use for both visitors and staff.

The Digital Reception Solution

A custom digital reception was implemented for ROC Gilde at two locations: Roermond and Venlo. The solution is designed for use at the main entry points and is available in both Dutch and English. The interface follows a clear structure, allowing users to immediately select the action relevant to them.

Key Features and Characteristics

Clear user paths

The home screen presents clearly defined options such as “I am a student,” “I am a visitor,” “I am a delivery person,” and “I want to speak to an employee.” This ensures that each user type is guided through the correct process without unnecessary steps.

QR and PIN-based check-in

Visitors can check in by scanning a QR code or entering a six-digit PIN code received in advance. After check-in, a phone call is automatically placed to the contact person. If the contact person does not respond, the call is forwarded to the reception number.

Student access via email verification

Students who have forgotten their access pass can request a temporary QR code by entering their email address. The QR code is sent by email and is valid for the same day only, ensuring controlled and temporary access.

Integration with SynGuard access control

The digital reception is integrated with the SynGuard access control system, which manages entry and exit through a two-way baffle gate at the main access point. During check-in, visitors receive a QR code that can be scanned at the gate to request access. Entry is granted automatically based on predefined approval rules, after which the gate opens. The same controlled flow applies to exits, ensuring accurate tracking of visitor movement. 

Label printing and manual check-in

For manual registrations, employees can approve visitors through a secure overview screen. Using a Brother label printer, staff can print access labels with QR codes when needed, giving full control over on-site access.

Overview and access logs

An overview button, protected by an employee-only code, shows all visitors who have checked in during the last 24 hours. Employees can see current check-ins, print labels, and manage visitor status. All access events are logged digitally, providing a clear audit trail.

Delivery handling and notifications

Delivery personnel can select the delivery option, choose a recipient, and notify them immediately via email, text message, or phone call. This reduces delays and ensures that deliveries are handled efficiently.

Real-time notifications

Employees receive instant notifications and calls when someone arrives, allowing them to respond quickly without relying on reception staff to manually intervene.

The digital reception has streamlined visitor and access management at both ROC Gilde locations. Visitors and students can now register independently, access is controlled securely through QR-based validation, and employees are informed in real time when someone arrives.

The solution has improved oversight, reduced manual workload at reception desks, and created a more structured and secure entry process. At the same time, it supports the open and accessible nature of an educational environment.
